Position Summary: As contributing member of the Music Ministry and under the general supervision of the Director of Music, the Music Ministry Assistant supports the music ministry by managing administrative tasks, organizing resources, and ensuring smooth operations for worship services, rehearsals, and special events. This position requires attention to detail, organizational skills, and a collaborative spirit to assist the Director of Music and other music ministry staff.
This on-site full-time role will work Sunday and Tuesday through Friday plus evening and Saturday work as scheduled. The compensation range is $22.00 to $25.00 per hour based on experience and paid on a bi-weekly basis. Duties / Responsibilities
Administrative Support
Education: High School Diploma or equivalent required. Bachelor’s Degree in Music preferred. Strong classical music background preferred.
Experience: Three or more years of experience in full office administration. Familiarity with choral and instrumental music needed. Prior work in church music related position a plus.
Knowledge / Skills

Duties / Responsibilities
Administrative Support
- Provides administrative support to the Director of Music and other members of the Music Ministry team.
- Prepare and submit payroll for Choir staff and Music Academy instructors.
- Order supplies for music ministry; process outgoing packages/mail and receive deliveries for Music Ministry needs
- Complete facility request forms for all music ministry and staffing needs
- Greet and answer inquiries from church and staff members; route and resolve information requests with a customer service focus.
- Performs other duties as assigned.
- Provides music related information for the weekly bulletin liturgical services in coordination with the Music Director, Organist, Communications team and FPC Pastors.
- Provides lyrics for hymns and other music to Production team for streaming use.
- Ensure all licensing and copyright requirements are met and maintained, providing payment for all copyrighted materials being used and licenses needed.
- Maintain licensing subscriptions with attention to renewal and use.
- Participate in weekly Liturgy meetings to assist in the planning of minute-by-minute service schedules
- Maintains music ministry calendar; coordinates Music Team calendar with the FPC Music Team
- Maintains FPC music library and database (Access); provides digital folder music as needed to choir members; manages replacement of physical scores as needed.
- Maintain automated repertoire lists for use by Music Team.
- Coordinates volunteers to assist with music library maintenance.
- Provides support for choir rehearsals on Wednesdays and Sundays and other rehearsal times as required.
- Maintain choir robes and music folder assignments.
- Records choir service and rehearsal attendance in church database.
- Updates music ministry participants information in church database.

Knowledge / Skills
- An active, growing relationship with Jesus Christ. Knowledge of the Bible, the Reformed tradition, and an ability to integrate the Christian faith into day-to-day work in a way that brings about the advancement of the gospel, required.
- A servant’s heart and an understanding of the higher calling to serve God through music.
- Classical or church music as well as some music reading skill preferred.
- Ability to research and manage licensing and copyright requirements for music used in services or other activities. Skills necessary for filing and cataloging church music.
- Understanding of the church year and the focus of work required for each season.
- Computer software proficiency/mastery of Microsoft Office Suite and specialized church (Ministry Platform) and music (Finale) software, managing databases and scheduling tools.
- Strong organizational and administrative skills, including correct English language usage, including spelling, grammar and punctuation.
- Ability to work collaboratively and independently.
- Work in a variety of situations relative to the music ministry, including moving materials and equipment, creating bulletin boards, posters and other creative activities.
